Problems we solve
Built for a practice with a full chair
A dental practice cannot put a caller on hold while someone walks to the front desk. We look at how calls reach reception, what happens when both lines are busy, and how appointment reminders get out without adding to anyone's afternoon.
We have a short write-up on this, three ways cloud communication benefits a dental practice. Ask on the contact form and we will email it over, usually the same working day.
How a typical setup works
What we usually configure for a dental practice. Every practice is different, so we set it up with you rather than from a template.
Both front desk phones ring together
Appointment calls ring every front desk handset at once. When all of them are busy, the caller waits with music instead of hearing a busy signal.
Emergencies reach the on-call dentist
After hours, an emergency option forwards to the on-call cell phone through the mobile app, so the call shows the practice number and the dentist's personal number stays private.
Texting from the practice line
Patients can text the same number they call, and replies go out from the practice rather than from someone's own phone.
HIPAA and the BAA
Intermedia, the company behind the platform, will sign the Business Associate Agreement HIPAA requires. The rest of compliance depends on how voicemail, recordings and access are set up, which we go through with you.

Working locally
Most of the practices we look after are within twenty minutes of Grand Blanc, which means when something goes wrong we are on site rather than dispatching from another state. We cover Flint, Fenton, Davison, Burton and Swartz Creek as standard, and travel further for larger projects. Older commercial buildings in this area often have cabling that predates the practice management software you now depend on, so a site survey is usually where we start.

Incredible service, fast response and local support that beats being sent to 1-800 number.
What we would look at
Questions we get asked
- Can patients still reach us while the system is being changed over?
- Yes. We move your number over and keep the old line answering until the new one is live, so there is no window where a patient calls and gets nothing.
- Can the phone system send appointment reminders?
- The phone platform handles voice and SMS from your business number. Automated clinical reminders usually come from your practice management software, and we make sure the two are not fighting each other or sending patients two messages.
- How many lines does a practice our size need?
- It is not really lines any more, it is users. A three chair practice with a front desk and a manager is typically four to six users. That is one of the things the cost audit works out, and it is often fewer than the old system was billing for.

How many lines are you actually paying for?
Most practices are billed for more than they use. The Cost Clarity Audit puts a number on it in plain English, at no cost.
